The warning signs were already in QuickBooks.

Every QuickBooks account already holds the early warning signs: customers who have quietly stopped ordering, invoices sliding past due, order frequency starting to drop. The data is there, but it’s buried in reports nobody has time to run. By the time someone notices, the customer has gone or the invoice is months overdue.

Our client wanted those signals in front of the team every day, with an obvious next step for each one.

Two tools, one source of truth.

The bookkeeping stays in QuickBooks. The app reads the data it needs and gives the team somewhere to act on it.

01 A QuickBooks-connected revenue app

A web app that connects securely to QuickBooks and turns the data into a short list of things worth acting on.

  • Customers going cold. Customers grouped by time since their last order, from 0–30 days through to 181+, so the team can see who is drifting away before the relationship ends.
  • Overdue invoices. Every unpaid invoice, how long it’s been overdue, and what’s still outstanding.
  • Smart alerts. New customers, unusually large orders and falling order frequency, shown in the app and sent by email and push notification.
  • AI follow-up emails. Drafted re-engagement, introduction and thank-you emails, with the right invoice attached automatically.
  • AI social media content. Branded graphics built from the product library and published straight to Instagram, Facebook and LinkedIn.
  • Built for teams. A shared workspace with owner, admin, manager and viewer roles, full customer purchase history, one search across customers, invoices and products, and Excel exports.

02 A caller-ID dialer

When a call comes in, the dialer checks the number against the company’s QuickBooks customer base. If it’s a customer, their details appear on hover, so whoever answers already knows who is calling and what they buy before they pick up.
